How to Take Action on Your Data

Updated 28 Jul 2026

VitalSigns is most valuable when it helps you move from scores to diagnosis to action. This section turns the views above into repeatable analysis skills, ready-made use case playbooks, and a simple review rhythm.

Best Practices

1 · Get oriented fast, a 60-second read of the Home Dashboard – scan the KPI tiles, comment tone, customer mix, and on-time delivery, then click anything unusual. A daily glance beats a monthly deep dive.

2 · Find where the problem is, compare POS and FF in Overall Metrics. The relationship between them (see the patterns table earlier) points you to checkout vs. carrier issues.

3 · Listen at scale, use Insights AI and the Comment Summary to spot the two or three topics with the most friction, then confirm by reading a sample of comments.

4 · Get to the root cause in Comments, stack filters like Negative tone + a specific topic + low scores to move from “scores dropped” to a specific, testable cause. Watch the response count.

5 · Put every number in context compared to the right benchmark for your plan and check the sample size. Ask whether a gap is to the benchmark, to your own past performance, or both.

6 · Separate signal from noise, look at trends, not single points; use Metric Distributions to see whether an average is moved by a true shift or a few outliers; and check the customer mix before reacting.

Step-by-step Guides

Diagnosing a key score drop

  1. Check the benchmark — falling while the category is stable points to a merchant-specific issue; the whole category moving may be market conditions
  2. Identify the metric and moment — which KPI moved most, and is it POS or FF?
  3. Ask what changed operationally — pricing, shipping, inventory, checkout, service, or site
  4. Read the comments — filter to lower-scoring feedback and repeated themes to find the cause, not just the symptom
WHAT GOOD LOOKS LIKE

You can finish the sentence: “[KPI] dropped in [POS/FF] because [cause], and the fix is [action].” If you cannot, you are still looking at symptoms. Keep reading comments for more signals.

Investigating conversion decline

  1. Open Site Abandonment and review Overall Satisfaction among abandoners
  2. If satisfaction is lower than expected, read abandoner comments for the barriers driving people away
  3. Check the Point of Abandonment — drop-off creeping closer to checkout signals conversion friction
  4. Review Visit Intent to see how many abandoners actually meant to buy
  5. Cross-reference with buyer comments on Checkout Experience and Charges Stated Clearly

Tracking the impact of site changes

  1. Note the launch date and capture the “before” scores for affected attributes
  2. Watch Metrics by Device — regressions often show on one device first
  3. Filter comments to the relevant topic and to the days since launch
  4. If you ran a custom question about the change, review its results alongside the comments

Getting ready for peak season

  1. Establish your baseline now, while volume is normal
  2. Expect the mix to shift toward new and gift buyers — read score changes against the mix
  3. Watch Fulfillment closely; carrier and delivery strain show up in FF first
  4. Keep a daily 60-second dashboard check through the peak

Closing the loop with customers

  1. Use comment filters to find unhappy buyers or stuck orders that need a human response
  2. Where appropriate, post a public reply to show future shoppers you act on feedback
  3. Route recurring issues to the right team with a clear, comment-backed description of the cause
SAVE THE SALE, IN REAL TIME

On Advanced and Pro plans, Real-Time Feedback Alerts push incoming comments to you so you can resolve buyer and delivery issues — and even re-engage site abandoners — while the moment is fresh.

Build a Review Rhythm

Value comes from consistency. Adapt this analysis/review cadence to your team.

CadenceWhat to doWhere to look

Before You Analyze

  • Have any key scores moved meaningfully since the last review?
  • Has the share of Negative or Mixed feedback changed?
  • Have any benchmark gaps widened or newly appeared?
  • Is the response volume strong enough to support reliable conclusions?
  • Have we reviewed enough comments to understand the likely drivers?

When a Score Drops

If you see a score decline, use this table to decide where to dig deeper.

AttributeFirst action if score dips below category benchmark
Overall Satisfaction (POS)Review top comment topics; read negative comments
Overall Satisfaction (FF)Review fulfillment attributes; check On-Time Delivery
Likelihood to Buy AgainCheck Product Met Expectations and Checkout scores
NPS (POS and FF)Read detractor comments; identify top friction points
Shipping ChargesReview shipping cost display and the free-shipping thresholds
On-Time DeliveryCheck carrier performance; review fulfillment SLAs
Product AvailabilityAudit out-of-stock rates on top SKUs; enable back-in-stock alerts
Checkout ExperienceAudit mobile checkout flow; review hidden-cost complaints
Customer SupportReview knowledge and courtesy scores; check first-contact issue resolution

With VitalSigns, your team can move from customer feedback to focused action faster. By combining KPI trends, direct customer voice, and a clear view across POS and Fulfillment, you can identify where the experience is breaking down, where it is working well, and where to prioritize improvements that strengthen satisfaction, loyalty, and conversion.
